IEM Coordinator

Work place: Luton

Job purpose:

The IEM Coordinator is responsible for day to day coordination of Global Corporate Secretarial client management in Luton.

Key responsibilities:

  • Working closely with the TMF network of Global offices and third party business partners to coordinate and deliver outsourced Corporate Secretarial services for client entities around the World;
  • Reviewing Corporate Secretarial and other legal documentation and performing administrative tasks;
  • Ensuring coordinated delivery of services by TMF local offices and third party business providers in line with statutory and local compliance requirements, and master and local service agreements;
  • Acting as a point of contact for clients on their on-going corporate secretarial, governance matters and ad hoc projects covering multiple jurisdictions;
  • Updating/maintaining client reporting tools and databases, e.g. corporate secretarial statutory deadlines calendar, task progress reports, entities/subsidiaries/branch offices databases, entity health checks;
  • Completing ‘Know Your Customer’ procedures and documents administration;
  • Coordinating client and internal billing processes, invoice verification and approval, debtor coordination activities; 
  • Maintaining and creating process maps, risks assessment tools, escalation metrics, IT issue logs;
  • Efficient issue identification and escalation according to internal procedures;
  • Sharing knowledge and contributing to internal trainings, creating process documentations;
  • Focus on process further development with strong focus on possible improvements;
  • Management reporting (including daily/weekly status reports, project progression updates, issues and emerging risks reporting).

Desired Skills and Experience:

  • Bachelor's degree (Economics, Law, Administration);
  • Fluent in English (both written and verbal);
  • Legal, Corporate Governance, Company Secretarial or Compliance background
  • Proficient with MS Office: MS Excel, Word, Power Point, Visio (Excel VBA desirable);
  • Previous experience with SharePoint would be a plus;
  • Knowledge of Company Secretarial or Entity Management Software would be a plus (hCue, Blueprint, GEMS);
  • Reporting experience (KPIs, Dashboards, Profitability reports, etc.);
  • Strong coordination, analytical and organizational skills;
  • Ability to prioritize time critical tasks and adhere to strict deadlines;
  • Excellent attention to detail;
  • Good communication and relationship management skills.
  • Can - do attitude with strong focus on customer.
