Job Purpose

The Fund Administration Manager will lead a team responsible for a portfolio of existing client funds. They will work closely with the Associate Directors and Director and will be expected to build and motivate an enthusiastic and professional team working to the highest standards.

 

Essential Duties and Responsibilities

In addition to the duties listed above, the Manager may be requested to perform any other ad hoc duties or projects as requested by the Director.

The individual will assist in all aspects of management and the administration process including, but not limited to the following:

  • Management and development (including assisting the Associate Director in the recruitment process) of a team of administrators by provision of appropriate supervision, leadership, motivation, mentoring, development and delegation of work to Senior Administrators/Administrators/Trainee Administrators.
  • Undertake the day to day administration of client funds, whilst adhering to statutory and regulatory requirements. Including company secretarial, financial reporting, accounting and general administration and liaison with book keepers, lead accountants, directors and other support teams associated with full client service provision.
  • Management of client deliverables through own contribution and allocation of work across client teams, including absence management.
  • Identifying areas for development of Senior Administrators / Administrators and trainees. Empowering others through delivering presentations and managing training sessions on technical issues to wider staff audience when required.
  • Support the Associate Directors manage adequate resourcing of the client teams, including undertaking recruitment interviews.
  • Involvement in salary and benefit review for your client teams.
  • Deal with queries from internal auditors on internal controls and provide back up where needed  
  • Act as Mentor to any team member requiring general support and guidance.
  • Work with the Associate Director to agree and then be responsible for implementation of Client plans and service level plans for each client, as appropriate.
  • Active management and development of client relationships including meeting attendance, including some travel to client offices and active participation in each client’s CRM programme.
  • Manage (both within the team and opposite the client) the content of client specific Action Trackers and execution of deliverables to agreed to agreed timescales.
  • Support best practice and adoption of uniform process and procedures across the team.  Including contributing towards the content and accuracy and promotion of the use or and reference t o the companies Intranet.
  • Perform administration around new joiners and leavers as well as creating requisitions where appropriate
  • Working with other managers across the business to further enhance the efficient delivery of a high quality service to develop the controls around Private Equity Fund administration.
  • Undertake and contribute towards objective setting and regular performance appraisals. Including giving, receiving and acting upon feedback on individuals and team performance.
  • Support the Director and Associate Directors pricing and take-on of new business.
  • Adhere to group policy on complaints, internal procedures and encourage others to do the same.
  • Cross-team and cross-office liaison to support shared provision and cross-selling of core services.
  • Liaising with the clients and their advisors to understand complex issues especially in relation to compliance with partnership agreements, accounting standards and any other document relating to the relevant Fund. 
  • Overseeing the audit process to ensure efficient sign-off of accounts to fit prescribed deadlines.
  • The Manager will also hold signing responsibilities in line with current Group Policy
  • To assist and contribute towards Group or Team Projects as required.
  • In addition to the duties listed above, the Manager may be requested to perform any other ad hoc duties or projects as requested by the Associate Director.

 

Technical Knowledge / Skills Required

  • Ideally 5+ years experience in a similar Funds environment
  • People management experience is highly desirable
  • Proven client relationship management skills and a focus on client service and the achievement of excellence
  • Presentation, negotiation and influencing skills
  • Company secretarial, accounting, audit and cash management knowledge
  • Strong grasp of commercial, legal, regulatory and operating principles.
  • Excellent time management and organisation skills are essential
  • Skilled communicator in English language, both written and spoken
  • Previous experience of software packages such as outlook, excel, databases and word is essential
