Legal Secretary (maternity coverage)

We are looking for a temporary Legal Secretary for a maternity coverage. 25 January 2021 - 29 May 2021. (32-40 hours per week)

 

The Group Legal Assistant gives administrative support to the Group Legal department. The team consists of the Director Group Legal and 6 Legal Counsels. The Group Legal Assistant reports to the Director Group Legal.

 

Key responsibilities

  • Handle mail and phone calls. Keep track of all communications.
  • Arrange for documents/ letters to be signed by authorized persons. Monitor status quo.
  • Prepare letters, documents, charts and presentations (which must be signed off by the Legal Counsel).
  • Assist with completing and executing legal templates
  • Filing documents (Chamber of Commerce).
  • Handle all incoming and outgoing post in coordination with the Legal Counsels.
  • Handle the agenda of the department
  • Organize meetings of the department (making reservations, taking care of supplies and facilities etc.).
  • Organize traveling for members of the department (making flight arranges, book hotels etc.).
  • Keep the intranet landing page of Group Legal up to date.

     

    Your profile

  • 3-4 years relevant working experience in an international environment.
  • Preferably experience in supporting a legal department.
  • Knowledge of legal documents, such as: Power of Attorney / Non-Disclosure Agreements.
  • Excellent English / Dutch written and verbal communication skills.
  • Excellent knowledge of Outlook, Word, Excel, PowerPoint and Visio. Knowledge of SharePoint is a plus.
  • Proactive attitude and a can-do mentality.
