Job Purpose:

This role will be performing a wide range of administrative and general support duties to ensure and maintain the effectiveness of the office operation.

 

Key Responsibilities:

  • Handle the reception counter effectively, includes:
  • Courier management - consignment note preparations, daily recording of courier disbursement into the system and submit courier disbursement report to Finance;
  • Phone call management - answer with greetings, able to take message and forward calls appropriately;
  • Mails management - receiving mails, documents and keeping proper record;
  • Meeting room management - properly assign of meeting rooms for different usages.
  • Provide daily administrative support to internal office, e.g office stationeries, office equipment, office services – dispatch, courier, etc.
  • Assist in liaising with building management as and when needed.
  • Assist in disseminating office administration notice, circular, memo to staff.
  • Maintain and update files, databases, records in ViewPoint system for office administrative matters.
  • Coordinate in company events, social functions and general correspondences.
  • Assist to ensure office equipment are in order and monitor the cleanliness of the office areas.
  • Other ad-hoc tasks that required assistance to expedite office work flow.

 

Key Requirements

  • Possess at least Diploma or any professional qualification in Business Administration or equivalent
  • Min. two years of relevant working experiences.
  • Good communication skill and interpersonal skills.
  • Self-motivated, possess strong sense of responsibility, trustworthy & able to multitask.
