TMF Spain is looking for a Recepcionist to cover the afternoon shift and to be based in Madrid office.

Job Purpose

The Part-Time Receptionist support functions related with the office. Handling of the Reception desk (phone calls, visitors, drinks, suppliers, etc…) and turnover with colleagues, and all incoming and outgoing mail and courier. Office management tasks. All these under supervision of the Managing Director.


Key Responsibilities

  • Answer the phone in a polite and quick way: Transfer the calls to the correct employee, takes notes if it is required, help your interlocutor.
  • Receive visitors and communicate to the correct employee its presence.
  • Ensure that all the received correspondence is delivered to the correct person or dept.
  • Mantain good appearance, company image.
  • Handling of archiving and of archives physical destruction of archives (after checking by Legal & Compliance Manager).
  • Keep organized the Reception desk.
  • Coordinate new phone extensions and transfer phone calls to other offices.
  • Keep the phone extension files organized and inform all staff after any update.
  • Manage internal courier between Madrid and Barcelona.
  • Manage courier service for all departments.
  • Preparation of letters and labels.
  • Correspondence filling.
  • Ordering/purchasing of office and canteen supplies as well as control of stock (coffee, tea, water bottles, etc.) Special interest coffe, milk and toilet paper. 


Key Requirements

  • At least 2 year in a similar position;
  • Fluent in English and Spanish;
  • Excellent organizational and communication skills;
  • Excellent team working attitude.
