Job purpose

The Operations Officer carries out the entire Accounts Payable activities. This includes the automated process as well as handling invoices and payments that require customized treatment.

 

Key Responsibilities

  • Handling of incoming invoices (scanning) and maintaining detailed electronic filing system of invoices and payments in Viewpoint
  • Preparation of payment instructions, processing and settlement of payments both for TMF invoices as well as for third party invoices, tax payments and payments relating to transactions
  • Monitor payments due, liaise with clients and banks to verify that sufficient funds are available for payment
  • Monitor the automated payment process Accurate processing of high volume of invoices for payment
  • Prepare confirmation mails to clients and ensure that client approval is obtained
  • Ensure that all data and information is filed accurately. Detect any gap and correct when necessary
  • Identify any unusual invoices and be attentive to prevent fraud
  • Ensuring compliance with internal policies and procedures
  • Handle and report recurring issues to continuously improve the process
  • Handle business requests defined by the Line Manager
  • Process requests for online access to banking and government platforms, administration of cards and tokens

 

Your profile

  • Relevant work experience in handling invoice payments (1-3 years with focus on accounting) or qualification in finance or economics
  • Proficiency in English
  • German and/or French – minimum A2 comprehension sufficient to identify invoices and details
  • Understanding of payment and financial processes
  • Attention to detail
  • High level of accuracy
  • Excellent communication skills
  • Ability to respect tight deadlines
