Job purpose

The Client Acceptance Team Account Assistant will support the (Senior) Client Acceptance Officer in handling legal, compliance, financial and administrative matters of prospective client companies including ensuring full compliance with TMF Acceptance policies.

The Client Acceptance Team Account Assistant is part of a dedicated team and has the responsibility to ensure a seamless integration of new clients to the respective service teams in such a way that the client can start being serviced without any unclear matters or compliance open issues. At this role you will have possibility to work remotely or hybrid from the office in Katowice.

 

Key responsibilities

  • Build up a strong working relationship with team members, other colleagues, prospective clients and third parties (such as business partners - as applicable)
  • Monitor the progress of ongoing matters. Identify problems and take actions (in consultation with the (Senior) Client Acceptance Officer
  • Organize meetings (checking availability for all attendees, scheduling the meetings, taking notes where applicable)
  • Assist with various aspects of onboarding of new prospective clients such as standard client outreach, basic KYC lists, preparation of onboarding documents, and assistance with online research in respect of the new prospective client
  • Take care of filing of various KYC documents and correspondence
  • Maintain and setup of organized administrative files
  • Keep client data and the client database up to date in a timely and accurate manner
  • Keep records per account of own worked hours on a daily to weekly basis
  • Ensuring all activities are in line with applicable internal guidelines and execute any activities necessary which are required from a sound compliance point of view
  • Act as gatekeeper of the Dutch financial system as required by local and international laws and regulations
  • Perform any other tasks and duties as requested or assigned by the Supervisor (Senior) Client Acceptance Officer

 

Key Requirements

  • A minimum of 2 years relevant working experience (preferably in administration / admin support roles)
  • University degree 
  • Prepared to follow the Basic Trust Officer course and other relevant courses
  • Excellent English written and verbal communication skills
  • Good interpersonal and communication skills
  • Ability to work well with a team in a fast-paced environment
  • Very good organizational and problem-solving skills, ability to prioritize 
  • Positive can-do attitude
