Job Purpose

The associate assists in handling a portfolio of incorporated companies and ensures that all company secretarial matters of clients are handled.

Responsible for the preparation of corporate secretarial related documents and maintenance of statutory books whilst ensuring adherence and compliance to the regulations under the country they serve.

 

Job Responsibilities

  • Assist in all corporate secretarial matters i.e. Preparing documents, resolutions, statutory filing, updating statutory registers, handling immigration matters for clients, handle document to ensure compliance with local companies law, rules and regulations.
  • Prepare Annual Return / Annual General Meeting documents.
  • Handling various e-filing with government authorities, to maintain and update client database and to handle client liaison work as appropriate.
  • Oversee issuing of invoices and following up on payments.
  • Incorporation of local companies as and when requested by clients
  • Prepare and arrange statutory forms for filing. Ensure compliance with statutory filing requirements and standard operating procedures.
  • Perform and review client's KYC.
  • General filing of documents and statutory books
  • Update and maintain records/information in ViewPoint
  • Ensure filing deadlines are met
  • Completes time sheets in an accurate and timely manner
  • Assist in the preparation of reports and schedules that are to be delivered to the clients and other external parties.
  • Perform other duties as assigned by team leader

 

Key requirements

  • Minimum Bachelor's Degree and ICSA student preferred;
  • Relevant working experience gained in professional firm / law firm / CPA firm as an advantage;
  • Good computer skills and familiar with Viewpoint system as an advantage;
  • Attentive to details with a high degree of accuracy;
  • Good business writing and communication skills;
  • Good command of both spoken and written English, proficiency in Mandarin/Cantonese as an advantage;
  • Independent and able to work under pressure;
  • Able to follow defined processes.
